External Research Funding Grant Forms

Updated November 2018

From February 2018 Research Services, via the Research Funding Team, introduced simplified processes for external research grants and funding.  The purpose of the changes is to reduce the administrative burden for researchers at the application (pre-award) and success (post-award) stages.

Researchers should download forms from the Research Funding web page each time they are required to ensure the current version is used.

Step 1: Funding Expression of Interest (FEOI)

Version 1.3 - April 2019

This update includes the following changes:

  • Addition of 5 'Funding Type' options, and removal of 'Consultancy with research components' (note this fits under 'Contract research..');
  • addition of 'Est. FedUni Income Portion' question to advise how much cash funding is specifically allocated to FedUni;
  • addition of 'FedUni Financial contribution' question to advise how much cash funding the school/institution will contribute to the project (if applicable) and
  • infrastructure exemption question simplified and outdated options removed.

This form is to be used for external research funding applications such as grants, tenders, contracts, etc; whether or not FedUni is the lead organisation (excluding FedUni lead ARC/NHMRC see below).

The FEOI is a starting point to notify your Dean or nominee of your intention to progress with a research funding application.  It is to be signed by your Dean or nominee and submitted to the Research Funding Team as early as possible (min. 15 business days) to ensure that your funding application is registered and support can be organised. Once signed, please forward to for DVCRI approval prior to investing significant time in developing the full proposal.

Do not send this form directly to the DVCRI (unless this is a direct report) as it will be returned to you without approval.

*Grants over $100k will require pre-submission compliance and budget review 10 business days prior to the External Deadline.

Step 2: Budget costing pro formas

The Budget costing pro formas for research grants are available on the Research finance page.

Compulsory for research funding applications valued at $100k and over.  Optional for less than $100k as indicated on the FEOI.

Step 3: Funding Submission Coversheet (FSC)

Version 1.3 - April 2019

This update includes the following changes:

  • Clarification on 'FedUni Income Portion' and
  • addition of 'FedUni Financial contribution' question to confirm how much cash funding the school/institution will contribute to the project and source of funding (if applicable).

The FSC and the submission-ready application are due 5 working days (unless otherwise advised by Research Services) prior to the funding body submission date (external deadline). Applications cannot be submitted without the approval of the DVCRI.

Applications over $100,000 will be approved by the DVCRI proceeding budget and compliance sign off (10 working days before external deadline).

This form provides school approval of a submission-ready funding application, as well as essential reporting information

It is to be signed by your Dean or nominee before submission. Once signed, please forward to for DVCRI approval to submit the proposal to the funding body.

Step 4: Funding Establishment Form (FEF)

Version 3.1 - January 2019

Once the application for funding has been successful and you have reviewed the contract/agreement, this form must be completed and submitted to for processing.

A research project code cannot be established without receipt of this form, full execution of funding agreements or other documents as required.

A budget will also need to be submitted (see further information on the FEF) prior to the account being established.

Once the FEF is received, Research Services will:

  • Arrange for the acceptance of grant from the external funding body
  • Facilitate the required Contract/Agreement(s) through Legal Services
  • Using the project budget information, request the creation of a Research Project Code from Finance
  • Check for external legislative requirements eg. Export controls, Ethics, BioSafety, HIRAC, etc.
  • Refer any scholarship/s through to Graduate Studies for establishment
  • Notify Marketing and Media for promotional purposes if applicable
  • Update internal systems, including setting reporting and financial milestone prompts.

Request for Late Submission (RLS)

Version 1.0 - February 2018

New - Late submissions will only be accepted through authorisation of the DVCRI via this form.

Applicants who are unable to meet the internal deadline for submitting a final application to Research Services are required to complete this form. The Deputy Vice-Chancellor Research and Innovation must approve this request prior to a late submission.

All requests must be received by 9:00am 5 working days prior to the external deadline. Extensions will only be approved in the case of exceptional circumstances.

The first step to applying for FedUni administered ARC or NHMRC funding is to complete the ARC and NHMRC Grant EOI form.

For externally administered ARC and NHMRC grant applications, please submit the standard Funding Expression of Interest (FEOI).

For FedUni and externally administered ARC LIEF proposals, please submit the LIEF Notice of Intent (NoI) form.

Please submit the appropriate form to by the advertised due date.
