Requesting maintenance work

The campus utilises an online remote request system (BEIMS) for appointed school/section representatives to lodge maintenance requests and act as a contact person for any follow up communication with us. Registered users are able to lodge maintenance requests via the BEIMS webpage

Discretionary works such as renovations or minor modifications are not considered to be general building maintenance. We are able to organise such works provided an appropriate account/project code is provided or, the project has been approved as a minor or capital works item. Contact us for more information.

Requesting keys

Requests for keys requires the submission of a Key Issue Approval form (pdf, 316kb). The form should be completed and then signed by an appropriate authoriser from your Faculty or department. Once completed, the form should be brought to our counter in order to get issued with keys.

Please be aware that, whilst we carry copies of most key codes, there may be occasions where a key will need to be ordered. This would result in a delay of up to one week.

Any loss of University keys should be reported immediately and a Lost Key Notification form (pdf, 284kb) completed and returned to us.

After hours access by staff/student card

All staff and students are provided with after hours access to designated external doors between 6:00am and 10:00pm. Access outside these hours can be made by contacting Security on 5122 6662 or via an emergency/caretaker phone (green button) situated at main entry points to the campus buildings. Personnel who require additional access (e.g. post-grad students, senior staff) will be granted entry where a need is proven. Written authority may be required before additional access is granted.

Assistance in moving office

If furniture is to be moved e.g. when a staff member is moving office, we can assist with the relocation. Your school/section representative should submit a BEIMS request detailing the required moves and ensure it has been endorsed by the appropriate manager of the School or department. To avoid delays, please ensure that the request is received by us at least three working days prior to the required move date - longer for large moves.

Issues relating to the transfer of phones and computers should be directed to the Service Desk.

Lost property

All lost property enquiries can be made at the Facilities Services counter in building 3W.

If you find property within the campus grounds, please hand it in at the Facilities Services counter in building 3W, where it will be added to the lost property register.

Mechanical services

Advice on power requirements, energy management, air conditioning, lift maintenance and/or building automation systems is available from our project officers.


Queries regarding routine cleaning of all buildings, windows, carpets should be directed to the services supervisor, ext: 26860. Special requests/additional cleans can be arranged via the submission of a BEIMS request.

Pest control

Queries regarding routine removal of pests and rodents on campus should be directed to the services supervisor, ext: 26860. Special requests can be arranged via the submission of a BEIMS request.

Vehicle bookings

The campus has a fleet of pool vehicles available for University use, which can be booked online. View information about University pool vehicles.

To register for Smartfleet, complete the Smartfleet user registration form and send it to us. For any enquiries call ext: 26688.

Waste removal

The campus prides itself on its level of recycling of items ranging from paper to building materials. For campus waste collection and recycling queries contact the services supervisor on ext: 26860.


The campus comprises approximately 80 hectares of open lawns, formal and native landscaped gardens. For advice and consultation on all aspects of the campus grounds, contact the services supervisor on ext: 26222.

Conference and special events

We can offer advice or assistance in planning a special event on campus, including venues, catering, access, IT, etc. contact ext: 26860.

Ad hoc room bookings

To book a room on campus for all activities other than a timetabled class, book online.

These are now the responsibility of Risk, Health and Safety however all services remain the same.
