New External Research Funding Grant Forms

From February 2018 Research Services, via the Research Funding Team will be introducing significantly simplified processes for external research grants and funding.  The purpose of these changes is to reduce the administrative burden for researchers at the application (pre-award) and success (post-award) stages.

Note that there will be a transition phase from 26 Feb – 31 March 2018, during which time forms and processes may be adjusted due to operational or University requirements. Researchers should download the forms from the Research Services webpage each time they are required.

Step 1: Funding Expression of Interest (FEOI)

Version 1.0 - February 2018

New simplified revamped form – replaces the GEOI

  • Compliance and Budget review is now optional for projects less than or equal to $100,000. Where a budget review is requested, the Budget Proforma must be used.
  • The Budget Proforma and compliance review is only compulsory for projects >$100,000.
  • Electronic authorisation will be accepted (email, e-signature)

To be used for external research funding applications such as grants, tenders, contracts, etc; whether or not FedUni is the lead organisation (excluding FedUni lead ARC/NHMRC).

The FEOI is a starting point to notify your ADR/Centre Director of your intention to progress with a research funding application.  It is to be signed by your ADR/Centre Director and submitted to the Research Funding Team as early as possible (min. 15 business days) to ensure that your funding application is registered and support can be organised. Once signed, please forward to research.funding@federation.edu.au for DVCRI approval prior to investing significant time in developing the full proposal.

Do not send this form directly to the DVCRI (unless this is a direct report) as it will be returned to you without approval.

*Grants over $100k will require pre-submission compliance and budget review 10 business days prior to the External Deadline.

Step 2: Budget costing pro-formas

The Budget costing pro formas for research grants are available on the Research finance page.

Compulsory for research funding applications valued at $100k and over.  Optional for less than $100k as indicated on the FEOI.

Step 3: Funding Submission Coversheet (FSC)

New simplified revamped form for proposal submission – replaces the GAC

  • Due to policy all applications still require the approval of the DVCRI  – policy to be reviewed in 2018. Therefore all funding submissions must be with Research Services 5 days prior to the external submission date unless otherwise advised and authorised by DVCRI.
  • Applications over $100,000 will be approved by the DVCRI only when the budget and compliance sign off is completed.

The FSC and the submission-ready application are due 5 working days (unless otherwise advised by Research Services) prior to the funding body submission date (external deadline). Applications cannot be submitted without the approval of the DVCRI.

This form provides faculty/school/centre approval of a submission-ready funding application, as well as essential reporting information

It is to be signed by your Executive Dean or nominee before submission. Once signed, please forward to research.funding@federation.edu.au for DVC(R&I) approval to submit the proposal to the funding body.

Step 4: Funding Establishment Form (FEF)

Currently under review and not required.

Request for Late Submission (RLS)

Version 1.0 - February 2018

New - Late submissions will only be accepted through authorisation of the DVCRI via this form.

Applicants who are unable to meet the internal deadline for submitting a final application to Research Services are required to complete this form. The Deputy Vice-Chancellor (Research and Innovation) must approve this request prior to a late submission.

All requests must be received by 9:00am 5 working days prior to the external deadline. Extensions will only be approved in the case of exceptional circumstances.

The first step to applying for FedUni administered ARC or NHMRC funding is to complete the ARC and NHMRC Grant EOI form.

For externally administered ARC and NHMRC grant applications, please submit the standard Funding Expression of Interest (FEOI).

For FedUni and externally administered ARC LIEF proposals, please submit the LIEF Notice of Intent (NoI) form.

Please submit the appropriate form to research.funding@federation.edu.au by the advertised due date.
